You are responsible for everything behind the scenes, from scouting the best venues in Leuven to managing site logistics and financial oversight, ensuring that every BLASE event runs flawlessly from start to finish.
In this role, you act as the main point of contact for venues and suppliers, keeping a close eye on both the numbers and the clock. If you thrive on making things happen and staying calm when the pressure is on, this is the position for you.

Key responsibilities
- Event Planning & Catering: scouting the best venues in Leuven and managing all food and beverage arrangements.
- Reservations & Deadlines: ensuring all bookings and administrative paperwork are handled strictly on time.
- On-Site Logistics: handling the heavy lifting of setup and breakdown to make sure the event runs smoothly from start to finish.
- Stock & Asset Management: keeping inventory organized and researching smart investments in new equipment for the organization.
- Financial Oversight: working within realistic limits and making sure every euro is spent wisely. You keep a close eye on the numbers so the team stays on track without sacrificing quality.

- Organized: you are naturally the one with the plan. While others are caught up in the excitement, you’ve got the checklists, timestamps, and keys ready so nothing slips through the cracks.
- Professional communication: you are the main point of contact for venues and suppliers in Leuven. You know how to negotiate deals and represent BLASE with a reliable, polished attitude.
- Composed under pressure: on the day of the event, you are the person everyone comes to with questions. You stay calm, think fast, and keep the team focused even when things get hectic
Extra information
Most of your preparation begins at the start of the academic year, so aside from a few small tasks, your summer remains largely your own. On the day of an event, however, you are fully committed to the operation which means handling everything from picking up supplies to the final pack-up and return. Because you'll be coordinating with suppliers and moving materials across Leuven, having a driver’s license is highly useful.
